We are currently looking for a Document Controller to join the Grid & Digital Solutions department, as part of the Thermal Power & HVDC division of Metlen, for the EGL1 Project, based in Torness
Your role will encompass:
- Collecting and registering all project documents, such as drawings, reports, and RFQs.
- Advising Project Managers and subcontractors when new documents are available.
- Issuing documents internally and externally when new documents are available.
- Reviewing and updating documents for maintenance and quality control purposes.
- Maintaining records of document comments.
- Creating alerts for documentation submission deadlines.
- Handling records across various departments.
- Keeping all stakeholders updated on new document revisions.
- Creating templates for general use.
- Scanning and uploading documents according to company procedures.
- Processing, copying, printing, and distributing documents as necessary.
- Preparing meeting agendas.
- Drafting meeting minutes.
- Drafting project reports.
- Drafting purchase orders mainly for various site-related supplies and services, and coordinating the handling of Purchase Orders between the head office, site, other company departments, and external stakeholders, such as suppliers and subcontractors.
- Assisting in the production of technical and commercial offer evaluation tables.
- Registering Purchase Order status and providing feedback to the Project Manager and Cost Controller.
What you bring to the role:
- Bachelor’s degree, ideally in Engineering.
- Previous relevant experience as a Document Controller, Assistant Controller, or equivalent experience in Customer Service, Operations, or Finance departments.
- Strong communication, self-motivation, and customer service skills.
- Ability to handle sensitive information with integrity and confidentiality.
- Excellent organizational and time management skills.
- Excellent verbal and written communication skills; fluent in English.
- Knowledge of web-based document management systems.
- Excellent proofreading and editing skills.
- Proficiency in Microsoft Office.
