We are currently looking for an Executive Personal Assistant to join our team.
By joining this role, you’ll play a key role in supporting the Director and Leadership Team, ensuring the smooth coordination of daily operations, executive schedules, communications, and administrative processes. You will act as a trusted partner, managing sensitive information with discretion while enabling effective decision-making and organizational efficiency.
Your role will encompass:
• Managing executive calendars, appointments, meetings, and travel arrangements.
• Acting as a primary point of contact for internal and external stakeholders on behalf of the Director.
• Organizing and coordinating meetings, workshops, and corporate events, including venue selection, logistics, catering, and accommodation arrangements.
• Preparing meeting agendas, presentations, reports, and executive documentation.
• Recording and distributing meeting minutes, ensuring follow-up on key actions and decisions.
• Coordinating complex travel itineraries, transportation, accommodation, and related logistics for the Director and Leadership Team.
• Managing confidential documents, correspondence, filing systems, and knowledge management platforms.
• Processing invoices, tracking expenses, and supporting procurement-related administrative activities.
• Gathering, consolidating, and analyzing information for reports, executive summaries, and presentations.
• Supporting the continuous improvement of office administration processes, systems, and workflows.
Your responsibilities:
• Ensuring efficient management of executive schedules and priorities.
• Maintaining confidentiality and secure handling of sensitive information.
• Supporting the Director and Leadership Team with high-quality administrative and organizational assistance.
• Coordinating multiple activities and stakeholders simultaneously while meeting deadlines.
• Monitoring compliance with company procedures, procurement protocols, and organizational policies.
• Delivering accurate reports, presentations, and documentation in a timely manner.
• Identifying opportunities to improve administrative processes and office efficiency.
• Building effective relationships with internal and external stakeholders.
What you bring to the role:
• Bachelor’s degree in Business Administration, Management, Communications, or a related field.
• Master’s degree will be considered an asset.
• Minimum of 6 years of proven experience as an Executive Personal Assistant, Personal Assistant, or in a similar executive support role.
• Previous experience within financial institutions, industrial organizations, or corporate environments will be considered an advantage.
• Excellent command of English, both written and spoken.
• Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
• Strong experience with calendar management, office systems, document management tools, and online collaboration platforms.
• Exceptional communication and interpersonal skills.
• Strong organizational and multitasking abilities, with excellent attention to detail.
• Ability to manage confidential information with discretion and professionalism.
• Strong problem-solving skills and ability to work effectively in a fast-paced environment.
• Availability to travel when required.
