Job Description: 

We are seeking a highly organized and proactive Executive Assistant to support the Managing Director Central Europe, based in Milan. This role is ideal for a professional who thrives in a fast-paced international environment and enjoys working closely with senior leadership, acting as a key point of coordination across multiple business functions.

As Executive Assistant, you will play a pivotal role in ensuring the effective management of executive priorities, facilitating communication across the organization, and supporting the successful execution of strategic initiatives. You will serve as a trusted partner to the Managing Director, helping drive operational efficiency and organizational alignment across the region.

 

Your role will encompass:

  • Managing and optimizing the Managing Director's calendar, ensuring alignment with business priorities and strategic commitments.
  • Coordinating executive meetings, leadership reviews, regional engagements, and board-related activities.
  • Preparing agendas, meeting minutes, action trackers, and ensuring follow-up on key decisions and commitments.
  • Acting as a central point of contact between the Managing Director and internal stakeholders across functions such as EPC, Development, Finance, HR, HSE, Quality, and others.
  • Supporting communication and coordination with external stakeholders, business partners, and senior counterparts.
  • Monitoring the progress of strategic initiatives, deliverables, and deadlines, ensuring timely execution and escalating risks when necessary.
  • Consolidating information and inputs from multiple teams to support executive decision-making and reporting activities.
  • Preparing high-quality presentations, executive summaries, business updates, and briefing materials.
  • Organizing executive travel arrangements, accommodations, and logistics for business trips and corporate events.
  • Supporting the planning and execution of leadership meetings, workshops, and external engagements.
  • Managing sensitive information and confidential documentation with the highest level of discretion and professionalism.
  • Ensuring compliance with internal policies, procedures, and corporate governance standards.

 

What you bring to the role:

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • 3-6 years of experience in Executive Assistant, Executive Support, Office Management, or similar positions within international organizations.
  • Excellent organizational and multitasking skills, with the ability to manage competing priorities effectively.
  • Strong stakeholder management and interpersonal communication skills.
  • Proven ability to work independently while maintaining a high level of accuracy and attention to detail.
  • Excellent written and verbal communication skills in both Italian and English.
  • Advanced proficiency in Microsoft Office applications, particularly PowerPoint, Excel, and Outlook.
  • High levels of professionalism, discretion, and confidentiality when handling sensitive information.

 

Nice to have:

  • Experience supporting C-level executives or senior leadership teams.
  • Previous experience within multinational or matrix organizations.
  • Exposure to the energy, infrastructure, construction, or EPC sectors.
  • Experience coordinating cross-functional stakeholders in complex and fast-changing business environments.
  • Familiarity with SharePoint, collaborative tools, and modern digital workplace solutions.
