We are currently looking for an Administrative Assistant to join our Health, Safety, Quality & Sustainability team, in our offices in Athens.
Your role will encompass:
- Administrative & Documentation Support: Maintain HSQnS records, reports, permits, and related documentation, ensuring compliance and accuracy, while supporting invoice processing, expense tracking, and departmental reporting
- Data Management & Reporting: Collect, consolidate, and maintain Health, Safety, Quality and Sustainability data, supporting the preparation of weekly, monthly, and ad hoc reports, KPIs, and presentations
- Meeting & Training Coordination: Organize meetings, training sessions, and workshops, including scheduling, logistics, attendance tracking, and documentation follow-up
- Compliance & Audit Support: Assist in internal and external audits, inspections, certifications, and compliance activities by preparing documentation, tracking actions, and maintaining records
- Office & Information Management: Oversee correspondence, filing systems, and document organization to ensure smooth daily operations and secure handling of sensitive information
- Communication & Stakeholder Support: Facilitate communication between the HSQnS team and stakeholders, ensuring timely follow-up on action items and requests
What you bring to the role:
- Bachelor's degree is desirable
- 2 years of proven experience in an administrative, coordination, or support role
- Experience in Health, Safety, Quality, Sustainability, Engineering, Construction, or Industrial environments will be considered an advantage
- Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Word
- Strong organizational and time-management skills, with the ability to handle multiple priorities effectively
- Excellent attention to detail and accuracy in maintaining records and reports
- Strong communication and collaboration skills.
- Experience with document management systems, reporting tools, or compliance-related documentation will be considered a plus
