We are seeking a motivated Company Secretarial Administrator to join our Corporate Governance & Sustainable Development General Division, based in Athens. Join our team and play a key role in supporting the Company Secretariat, ensuring smooth coordination of governance activities, board operations, and administrative processes.
Key Responsibilities
- Support the planning and execution of Board and Committee meetings, including scheduling, logistics coordination, and preparation of meeting materials
- Manage travel arrangements, including flights, accommodation, transportation, and visa requirements for directors and team members
- Support onboarding activities for new directors and assist in the organization of off-site and international meetings
- Process invoices, expenses, and budget-related activities through SAP, ensuring accuracy and timely execution
- Maintain departmental records, contracts, and documentation, ensuring proper organization, filing, and accessibility
- Provide administrative and secretarial support, including document preparation and circulation, correspondence management, and archiving
- Liaise with internal stakeholders, including Legal, Finance, IT, Investor Relations, and other functions, to ensure effective coordination and timely resolution of operational matters
What You Bring to the Role
- 2–4 years of experience in administrative, executive support, office management, or similar coordination roles
- Strong organizational and planning skills, with the ability to manage multiple priorities and deadlines simultaneously
- Familiarity with SAP or similar systems for invoice processing and expense management will be considered an asset
- Excellent communication and stakeholder management skills, with the ability to collaborate effectively across different functions and levels of the organization
- Proactive and solution-oriented mindset, with the ability to work independently and take ownership of tasks
- High level of professionalism, discretion, and confidentiality when handling sensitive information
- Flexibility, adaptability, and the ability to thrive in a dynamic and fast-paced environment
