About the Role
We have an exciting opportunity for a Document Control Officer to join our team.
Location: TBC Auckland or Bay of Plenty
Contract Type: Full time or Part time, fixed term
Reporting to the Senior Project Manager, the Document Control Officer will coordinate and control project documentation on the Tihori Solar Farm project, located in the Bay of Plenty region.
Your key responsibilities will include:
- Document management and control:
- Upload, register, and manage all project documents, such as drawings, specifications, RFIs, and submittals, within Aconex.
- Ensure proper document numbering, classification, and metadata are applied.
- Maintain version control, ensuring only the latest approved versions are accessible and archiving previous revisions.
- Workflow and distribution:

- Track document progress and follow up on pending actions to ensure deadlines are met.
- Prepare and issue formal transmittals for documents.
- Coordination and support:
- Coordinate with internal project teams, client, consultants, and contractors to facilitate document flow and approvals.
- Provide support to project teams for document-related queries and training on the Aconex system.
- Manage user access and permissions within the Aconex system.
- Reporting and auditing:
- Maintain accurate logs and generate reports on document status, overdue items, and other key metrics.
- Assist with project audits by providing organized and compliant documentation.
- Compliance and quality:
- Enforce document control procedures and standards to ensure consistency and traceability.
- Conduct quality checks on documents, such as verifying signatures and dates.
- Maintain confidentiality of sensitive document.
About You
To be successful in this role, you will have:
- Previous experience working on construction site e.g. as a site-based document controller, project administrator/coordinator or scheduler.
- Experience using construction EDMS platforms such as Aconex or Procore
- Understanding of document control principles and best practices.
- Excellent organizational and time management skills.
- Strong communication and coordination skills to work with various project stakeholders.
