Job Description: 

We are looking for an organised, proactive, and highly professional Secretary to support the Country Manager in Romania and contribute to the smooth and efficient operation of the local business.

The role will provide high-level administrative and organisational support, acting as a key point of contact between the Country Manager, internal teams, external stakeholders, and business partners. The ideal candidate will be comfortable working in a fast-paced, international environment and will demonstrate excellent communication, coordination, and organisational skills.

The ideal candidate will be comfortable working in a fast-paced, international environment and will demonstrate excellent communication, coordination, and organisational skills.

What the role will encompass:  

  • Provide comprehensive administrative and organisational support to the Country Manager, ensuring effective day-to-day management of activities
  • Manage the Country Manager's calendar, including scheduling meetings, coordinating appointments, and organising business travel
  • Coordinate internal and external meetings, prepare agendas, take meeting minutes, and follow up on agreed actions and deadlines
  • Act as a key point of contact between the Country Manager and internal teams, external partners, clients, consultants, and other stakeholders
  • Support the preparation and coordination of presentations, reports, business documents, and management materials
  • Assist with the coordination and tracking of key business activities and projects across the Romanian operations
  • Maintain and organise confidential documentation and business records
  • Support communication and information flow between the Romanian office and the wider Group organisation
  • Assist with the preparation of internal and external communications in both Romanian and English
  • Coordinate administrative activities related to business meetings, events, and visits from international stakeholders
  • Support the Country Manager with follow-up on key actions, ensuring deadlines and priorities are effectively monitored
  • Handle confidential and sensitive information with a high level of discretion and professionalism
  • Provide general administrative support to ensure the smooth operation of the local office and business activities

What you bring to the role:  

  • Previous experience as an Executive Secretary, Personal Assistant, Executive Assistant, Office Manager, or in a similar administrative role supporting senior management
  • Excellent organisational and time-management skills, with the ability to manage multiple priorities and deadlines
  • Strong communication and interpersonal skills, with the confidence to interact with senior stakeholders and external partners
  • Excellent written and spoken Romanian and English
  • Strong proficiency in Microsoft Office, particularly Outlook, Word, PowerPoint, and Excel
  • High level of professionalism, discretion, and confidentiality
  • Proactive, hands-on, and solution-oriented approach
  • Ability to work independently while collaborating effectively with multiple stakeholders
  • Previous experience in the renewable energy, energy, infrastructure, construction, or engineering sectors will be considered an advantage
