We are looking for an Administrative Assistant, based in Benghazi, Libya, to provide comprehensive administrative and operational support to the project team. The successful candidate will play a key role in ensuring the smooth coordination of personnel, accommodation, travel, documentation, and general office administration activities in a dynamic project environment.
Your role will encompass
- Coordinating accommodation, residence, and hospitality-related administrative activities.
- Maintaining personnel records and employee databases for both local and expatriate staff.
- Preparing and administering employee documentation, including contracts, warning letters, resignation letters, and termination documentation.
- Managing timesheets, leave schedules, rotas, and employee movement reports.
- Supporting expatriate administration, including travel requests, visa tracking, and personnel movement records.
- Maintaining accurate records of subcontractors, vehicles, security personnel, and other project resources.
- Preparing reports, correspondence, and official documentation in English as required by project management.
- Coordinating office logistics, stationery, consumables, printing supplies, and general administrative requirements.
- Managing document filing systems and ensuring that personnel records remain organized and up to date.
- Supporting payroll-related administration through the maintenance of employee and banking information.
- Liaising with internal stakeholders to ensure timely execution of administrative processes.
- Providing ad hoc administrative support to the Site Manager, Construction Manager, and project personnel as required.
What you bring to the role:
- Previous experience in an Administrative Assistant, Project Administrator, HR Administration, or related support role.
- Strong organizational and multitasking skills with excellent attention to detail.
- Experience maintaining employee records, documentation, and administrative databases.
- Ability to manage confidential information with professionalism and discretion.
- Strong written and verbal communication skills in English.
- Proficiency in Microsoft Office applications, particularly Excel, Word, Outlook, and PowerPoint.
- Ability to prioritize workload and work effectively in a fast-paced project environment.
- Experience supporting multicultural teams and coordinating with both local and expatriate personnel is considered an advantage.
- Strong problem-solving skills and a proactive, service-oriented approach.
- Ability to work independently while collaborating effectively with multiple stakeholders.
