As a Front Desk Office Administrative Assistant(1 year maternity cover), you will be responsible for collaborating within our dynamic Operations team assisting Operations Manager with the day-to-day tasks. Supporting operations and administrative duties of Sofia office assigned by the Operations Manager to Front Desk Office Administrative Assistant and ensuring smooth office operations inclusive of support considering the business activities in the construction industry. Following up and communicating the necessary actions, processes, making necessary adjustments upon Operations Manager’s request and timely reporting back on the status of the open and ongoing issues.

 

Your role will encompass:

 

  • Manage reception and kitchen areas, maintaining a clean and organized office environment
  • Welcome guests, employees, and visitors
  • Handle company correspondence, including phone calls, emails, letters, and packages
  • Archive documents (invoices, orders, contracts, etc.) and report payment invoices to the Operations Manager, including contractual obligations
  • Organize meetings and maintain a planner
  • Assist in finding vendors, suppliers, and service providers, and schedule appointments as requested by the Operations Manager
  • Create and arrange travel itineraries (tickets, hotels, cars, etc.) for business executives, employees, and company events, following company policies
  • Manage inventory of supplies, including stationery and multimedia equipment
  • Perform clerical duties: archiving, data entry, drafting, copying, scanning, emailing, and editing MS Office/Excel documents. Update records and databases related to personnel, suppliers, or service providers, and provide final reports to the Operations Manager upon request.
  • Translate incoming and outgoing documentation from Bulgarian to English and vice versa (whenever needed)
  • Oversee catering during company events, find venues, and assist with necessary arrangements

 

Key Responsibilities:

 

  • Ensure a well-organized and welcoming office environment
  • Manage all incoming and outgoing communications efficiently
  • Maintain accurate records and databases, and provide timely reports
  • Support the Operations Manager in various administrative tasks and projects
  • Coordinate travel arrangements and event logistics
  • Assist with translation services as needed

 

What you bring to the role:

 

  • Excellent command of the English and Bulgarian Languages
  • Bachelor’s degree in the field of Finance/Accounting/Economics or Business Administration would be an advantage but not mandatory
  • Previous clerical experience with documentation and administrative tasks
  • PC and Microsoft Office tools experience (Word, Excel, Outlook)
  • Great planning and organizational skills
  • Time management skills and dealing with deadlines
  • Willing to interact with a lot of people
  • Excellent Communication Skills
  • Detail oriented
  • Team spirit and positive approach
